Deposit request

Identify a deposit as an advance toward an agreed job, rather than describing it as completed labor. Reference the accepted estimate and the total contract price.

Reconcile the entire job against payments actually received. A requested deposit is not a received payment until the customer pays it.

This example assumes the $1,500 deposit was received and there are no changes or taxes. Total $5,000 minus payment received $1,500 leaves $3,500 outstanding. Include the payment date and reference in your records.

What to include

  • Your business and customer billing details, plus the job or worksite address.
  • Invoice number, issue date, work dates and payment due date.
  • Separate labor and material descriptions with quantities and rates.
  • The estimate or contract reference and any approved change orders.
  • Applicable taxes, payment instructions and a record of deposits already received.

Make payment terms clear

Use the deadline agreed with the customer and make the amount due explicit. For a final bill, distinguish the job total, payments already received and outstanding balance. Check whether your location requires a license number, specific tax details or other disclosures.

Common questions

Can the free PDF builder record a deposit already paid?

The free PDF builder does not have a paid-deposit field. The final-balance example here is guidance, not an automated payment ledger. Do not enter a received deposit as a discount or a negative line item. For a balance-only invoice, bill the remaining agreed amount and explain the original job total and prior payment in the notes; check the format with your bookkeeper.

Should labor and materials be separate?

Separating them makes the bill easier to compare with your estimate and supporting receipts. Tax rules may treat labor and materials differently. The builder applies one invoice-wide tax rate, so it may not fit jobs that require different tax treatment for individual lines.
